Communications and automated emails
Configure routine confirmations and reminders separately from manual updates and award decisions.
1Configure automated emails
- Open Communications → Automated emails to enable or disable submission confirmations, incomplete-application reminders, administrator copies, and assigned-reviewer notifications.
- Edit the subject and message for each template, check its preview, and save. Automated emails use these organization settings for future messages; decision emails still require a deliberate send action.
- Choose a delay from 1 to 90 days. Reminders are checked daily, repeat after the chosen interval, and stop after completion or three reminders. Completed, expired, or revoked recommendation requests are excluded.
2Customize recommendation email templates
- Open Recommendations → Recommendation email templates. Edit the request and reminder subjects and messages, or use the same settings under Communications → Automated emails.
- Use the displayed personalization fields for student, recommender, and organization names. The secure recommendation link is included automatically; the template does not change the questionnaire itself.
- Set the recommendation reminder delay and choose Save recommendation emails. Update the actual questionnaire questions through the application form’s Recommendation tasks section.
3Prepare a message
- Choose the intended individual students or recipient group, including unfinished applicants when you need to follow up.
- Choose the message purpose or template, then edit the subject and body. Verify the program, status, deadlines, and next action.
- Prepare the messages as drafts. Preparing does not mean they have been sent.
4Edit, delete, or send
- In the prepared-message list, select the emails you want to manage.
- Select exactly one draft to Edit it, then save your changes. Select one or more unsent drafts to Delete them when appropriate.
- Choose Send selected only after checking the recipient list and wording. Award selection does not itself send a decision email. Submission confirmations are controlled separately in Automated emails.
5Check delivery
- Review message history for sending, delivery, or failure information.
- If a message fails, inspect its reason, correct the underlying issue, and retry as appropriate.
- If a message was sent but not seen, verify the email address and ask the recipient to check spam. Sent does not guarantee inbox placement.
